Membership Management
Member Profiling
3 main member profile types are Family, Individual and Corporate Members. Unlimited amount of different types and levels of memberships can be configured. All parameters like membership period, auto renwals criteria and maximum cards can be set per membership type. The membership profile contains address information, interests, benefits and photo. A profile will also list related information like the members all purchases, activities, card history and visits.
Member Activities
Examples of Activities are Phone calls, feedback, meetings, complaints and follow ups. Any types of activities can be added and activities can be forwarded to other users for action.
Member Relations
Shows person and corporate relations for a member, creating visibility of a company’s hierarchy of subsidiaries or special person relations like an individual members connection to a corporate membership.
Member Transactions
The profile holds a members history of spending, from all connected purchase points and locations. Spending includes any member transactions like membership fees, purchases and item redemptions. If the Point engine is activated all purchases are calculated into points. The points for each transaction and the total point balance are visible together with the spending in dollar or any selected currency. Manual product purchases like PR merchandise, special group packages or gift cards are easily managed by the operator using a transaction button which enables an internal mini POS.
Member Card Management
The history of all cards used by a member is visible from the members profile. To prevent misusage of the system a card can only be printed once. To issue a new card the first card has to be canceled first which prompts the user for a reason. After cancellation the card is blocked from usage. A new card can be issued and printed. Issued replacement cards can be set to generate a replacement fee transaction if desired. The system administrator can set how many cards that should be issued for a specific membership type.
Membership Processes
The system is flexible to handle all stages and steps in processing different types of memberships. Membership Registration and Renewal Requirements to become a member can be set per member type and Renewals can be automated based on the total spending amount during the current membership period or simply by a renewal fee. Promotions can be created and connected to registration and renewals to make special offers for limited time periods. The system produces renewal reminder letters in any layout format including member details, pictures, and payment amounts. List of expiring memberships can also be extracted for external processing.
Administration
The system administrator and selected super users will have access to the system administration module where the system configuration, membership processes and user rights are managed.
